Four stages / Stage 2 · Routine
Every pet on a plan, every owner reminded before the date
TailPlan builds a care plan for each pet from its species, breed, age and region. Your vet confirms the clinic’s default once.
From then on the card updates after every visit and reminds the owner before the next procedure is due.

Example of a default plan drawn from WSAVA and ESCCAP guidance for the Cyprus region. Your vets confirm or change every item.
Why continuous beats occasional
Each item runs on its own cycle. A single yearly reminder misses most of them, and the wording of a reminder matters as much as sending it.
flu vaccination on average from text reminders before a doctor’s visit, in a randomised trial of 47,306 patients; the best message added 4.6 points.
flu vaccination on average from text reminders versus no message, in a randomised trial of 689,693 pharmacy patients.
Appointment reminders increased outpatient attendance compared with no reminder, across 10 trials and 8,236 patients.
no-shows when the SMS reminder was reworded, compared with the standard reminder, across 14 hospitals in Israel.
attendances per 1,000 appointments with text-message reminders versus none, as effective as phone calls and cheaper per attendance.
Dogs in five European countries were dewormed on average 2.3 times a year, against at least four recommended by ESCCAP.
What stage 2 includes
- Plans by species, breed, age and region, with Mediterranean risks such as leishmaniasis and heartworm
- Your breed shortlist, so extra checks appear only for breeds your clinic sees
- Vet confirmation of the clinic’s default, with a source for every item
- Automatic recalculation from the date a procedure was actually done
- Four-step reminders: Wallet 14 days before, WhatsApp 3 days before, SMS on the day and 7 days after
- Overdue list for your team every week
The number to watch
On-time rate: the share of due procedures done within 14 days of the due date.
What your team does
- A vet confirms the default plan once, about 30 minutes
- Reception marks procedures as done at checkout, or the clinic sends a weekly export
Next: stage 3, Bond
When reminders run on their own, make your clinic the place owners don’t want to leave.
