One plan and one card per pet. Reminders that keep both up to date.

TailPlan is a retention system for veterinary clinics.

It turns your client list into individual care plans, keeps them current after every visit, and reminds owners before anything is due.

Care plans

A plan built from species, breed, age and region

From a birth date, species and breed, TailPlan proposes every vaccine, parasite treatment and check-up the pet needs, with dates. The catalog behind it covers dogs and cats and follows published WSAVA and ESCCAP guidance.

  • Breed-aware. Extra checks for breeds that need them, such as hip and elbow checks for large breeds or airway checks for flat-faced breeds.
  • Region-aware. Mediterranean risks like leishmaniasis and heartworm are included for clinics in Cyprus and Greece.
  • Lifestyle-aware. Indoor and outdoor cats get different booster schedules.
  • Your shortlist. Each clinic chooses the breeds it sees most, so the plan list stays short and relevant.

The plan updates itself after every visit

When a procedure is recorded, TailPlan recalculates the next due dates and reschedules the reminders. If an owner comes early or late, the cycle restarts from the real date, not the planned one.

Recorded at checkout

Reception ticks the procedure in TailPlan at checkout, in about 20 seconds.

Or from your export

Send a weekly export from your software; we match procedures for you.

Owner sees it at once

The Wallet card shows the new next-due date. No message needed.

Wallet cards

A card on the lock screen instead of an app nobody installs

Every owner gets a card for each pet in Apple Wallet or Google Wallet. It carries your clinic’s name and contacts, the next procedure and its date, and a personal referral code.

  • Added with one tap from a link in WhatsApp, SMS or email
  • Updates silently when the plan changes
  • Links to a private page with the pet’s full plan
  • Your clinic’s name on the card, so the relationship stays yours
  • One card per pet: if the owner also visits another TailPlan clinic, they link the same card instead of collecting a second one. Clinics never see each other’s names or records

Reminders

Four reminders on the card, one personal follow‑up, one opt‑out

TailPlan starts with the least intrusive channel and stops as soon as your team records the visit.

  1. 14 days before: Wallet card updateA lock-screen notification with the procedure and date.
  2. 3 days before: Wallet card updateA second notification; the card has buttons to call or message your clinic.
  3. On the due date: Wallet card updateSent only if the visit hasn’t happened yet.
  4. 7 days after: Wallet card updateThe last card reminder. After that the pet moves to your overdue list.
  5. 2 weeks later, still not booked: one messageBy Telegram if the owner connected it, otherwise by WhatsApp if you turned it on.

Owners without the card get the same steps by Telegram, free, or by WhatsApp, and SMS only where WhatsApp isn’t possible. WhatsApp and SMS are optional and billed at our provider’s cost plus 10%.

You stay in control

  • Timings and paid channels are set per clinic
  • Card, reminders and messages in the owner’s language: English, Greek, Russian, Ukrainian or Hebrew. Your cabinet is in English or Greek
  • One‑tap opt‑out in every message, respected across all channels
  • Owners who opt out stay in your overdue list, so your team can decide what to do
Referrals

Word of mouth you can see

Every card has a personal code. A friend who books with it is linked to the owner who shared it, and both appear in your referrals report. You choose whether to reward them and how.

Why it matters

Most new clients at a neighbourhood clinic come from recommendations, but almost no clinic can say which owner sent whom. The code on the card makes that visible without any extra work at the desk.
