Works with the practice software you already use

No IT project, nothing to install and no changes to your system. TailPlan reads the client list your software already exports, then stays in step through one tap at reception or a regular export.

Three ways to connect

Any software · available now

1. Upload an export

Export your client list from your software as CSV or Excel and upload it in TailPlan. Columns are recognised in Greek and English, phone numbers are put in international format, and you confirm sample dates before anything is saved. Clients, pets and visits in separate files are joined by their ID columns.

2. Automatic e-mailed reports

If your software can e-mail a scheduled report (for example Provet Cloud), point it at your clinic’s private import address. Reports with the columns you already confirmed are imported automatically; anything else waits for your review. Only senders you allow are accepted.

3. Direct connection

For Vetmanager and Provet Cloud, the clinic owner connects TailPlan in Settings with a key from the software. TailPlan then reads clients, pets and recorded vaccines and treatments on its own, every day. It only reads: nothing is ever written to your software. Provet Cloud connections are set up with you while the TailPlan listing in Provet is completed. Other software with an open API: tell us which one you use.

Day to day: one tap, no double entry

After the first import your team does not retype visits. At reception, staff tick what was done today and press Done: open reminders close, the next ones are planned and the owner’s card updates. Clinics that prefer to keep everything in their own software can upload a newer export instead; only what is new is added, and the same file twice changes nothing.

Already sending some reminders from your software? Tick those types in Settings (vaccinations, parasite treatments, check-ups, dental, other) and TailPlan stops reminding about them, so owners never get the same reminder twice.

What TailPlan reads, and what it never does

  • Reads: owners (name, phone, e-mail), pets (species, breed, birth date, neutered, microchip) and dated vaccinations and treatments.
  • Never writes into your software. Your practice software stays the system of record.
  • Sends no client data to set things up. When we tune the import for your software, we ask only for column names, never client rows.
  • Protects what it stores: names, phones and e-mails are encrypted per clinic and stored in the EU. See Data & GDPR.

Practice software we know

TailPlan has an import layout for each of these. On your first import you check every column before anything is saved, so an unusual export never slips through. Using something else, or Excel? The smart matching reads any export with Greek or English column names.

Questions clinics ask

Do we need our software vendor or an IT person?

No. Exporting a client list is a normal function of practice software; your team does it the same way as for any report.

What if our export looks different from what TailPlan expects?

You see every column and its match before the import, and can change any of them. Your matching is remembered for the next export with the same columns.

Can you check our export before we start?

Yes. From the import page you can send us only the column names (no client data), and we confirm the layout for your software.

Where do I read the step-by-step guide?

See Importing your client list, Import by e-mail and Reception.
